Understanding our service agreement
At Regent Fence Installers, we believe every successful project starts with clear expectations and open communication. This service agreement is designed to help homeowners understand how we schedule work, handle deposits, manage utilities, and stand behind our craftsmanship. Our goal is to make the entire process straightforward, transparent, and stress‑free, so you always know what to expect from the moment you approve your estimate to the final walkthrough. These guidelines protect your investment, keep your project on track, and ensure the level of professionalism we’re committed to delivering on every job.

Deposit requirements for your installation
Regent Fence Installers provides free first‑time estimates. All projects require a 50–75% deposit to secure materials and scheduling. Installation typically begins 2–3 weeks after the deposit is received, depending on weather, material availability, and workload. All work includes a 2‑year workmanship warranty covering installation‑related issues, while material warranties follow manufacturer guidelines. We contact MISS DIG for public utility marking, but we are not responsible for unmarked or private utilities such as sprinkler systems, invisible dog fences, drainage pipes, or landscape lighting. Homeowners must clearly mark all private lines and drainage pipes or hire a company to do so. GroundSafe provides this service and is available for a discount on all new fence installations. Weather or ground conditions may cause schedule adjustments, Customer will be notified if or when any adjustments are necessary. Final payment is due upon completion. Accepting and signing the contract acknowledges your acceptance of these terms and confirms your understanding of the responsibilities outlined.

Change Orders
Change orders cover any adjustments made after the original estimate is approved, including layout changes, added materials, upgraded styles, additional gates, or unexpected conditions discovered during installation. All changes must be agreed to in writing before the work is performed. Pricing for change orders is based on the updated scope and may affect the project timeline. If hidden obstacles such as buried concrete, roots, or old posts are uncovered, additional charges may apply to complete the work safely and correctly. Change orders help ensure transparency and protect both parties by clearly documenting any modifications to the original agreement.
Cancellation & Rescheduling Policy
Cancellations or rescheduling requests must be made in advance to avoid delays or lost scheduling opportunities. Weather or ground conditions may require us to adjust installation dates, and we will communicate any changes promptly.
Property Access & Site Preparation
Homeowners must provide clear, unobstructed access to the work area and remove any debris, obstacles, or vegetation that may interfere with installation. Pets must be secured, and gates or entry points must remain unlocked during scheduled work.
Hidden Conditions & Unforeseen Obstacles
If hidden issues such as buried concrete, roots, rocks, old posts, or underground obstructions are discovered, additional charges may apply. These conditions cannot be fully assessed until work begins and may affect the project timeline.
Material Handling & Natural Variations
Wood, vinyl, and aluminum materials may experience natural variations such as warping, fading, expansion, or contraction. These characteristics are normal and not considered defects. All materials are installed according to manufacturer guidelines.
Warranty Limitations
Our 2‑year workmanship warranty covers installation‑related issues only. Damage caused by weather, soil movement, pets, lawn equipment, vehicles, or misuse is not covered. Manufacturer warranties apply to materials and follow their specific terms.
Final Walkthrough & Payment Expectations
Upon completion, we provide a walkthrough or photo confirmation of the finished work. Final payment is due immediately upon completion unless otherwise agreed in writing. Warranty coverage begins once the project is paid in full.
Liability & Insurance
Regent Fence Installers is fully insured; however, we are not liable for damage to unmarked or private utilities, pre‑existing property conditions, or delays caused by weather, suppliers, or utility companies. Acts of nature are outside our responsibility.
Photo & Media Permission
We may photograph completed projects for portfolio and marketing use. If you prefer not to have your project photographed or shared, please notify us in writing before installation begins.
Dispute Resolution
If concerns arise, we encourage homeowners to contact us directly so we can resolve the issue quickly and professionally. Open communication helps prevent misunderstandings and ensures a fair outcome for both parties.
